Personal Data We Process
Depending on how you use BNE’s website and services, we may process:
- Your name, contact details and institutional affiliation.
- Membership and payment information.
- Communications and enquiries submitted to us.
- Information about your use of the website, including your IP address and access logs.
- Conference presentations and related presenter information submitted to the BNE Conference Archive.
- Information you provide when submitting professional resources or other material to BNE.
Payment card details are processed directly by our payment service provider and are not stored by BNE.

- Membership administration: We process your information to create and administer your membership and provide access to member content. The legal basis is the performance of the membership agreement.
- Payments and accounting: We process information to handle payments and comply with accounting and other legal obligations.
- Enquiries and requested communications: We process information to respond to enquiries and provide information requested by you. The legal basis is our legitimate interest in communicating with members and other interested persons.
- Newsletters and marketing: We send electronic marketing where you have given your consent. You may withdraw your consent at any time.
- Website operation and security: We process technical information to operate, maintain and protect the website. The legal basis is our legitimate interest in providing a secure and functional website.
- BNE Conference Archive: We process voluntarily submitted presentations to make them available to logged-in BNE members. The legal basis for processing the presenter’s personal data is consent.
- Submitted professional resources: We process submitted material to assess and, where agreed, publish it on the BNE website. The applicable legal basis will be explained when the material is submitted.
Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.
BNE Conference Archive
If you voluntarily submit a presentation for inclusion in the BNE Conference Archive, the conference organiser will transfer the presentation, your name and your institutional affiliation to the Danish National Center for Grief.
The material will be available only to logged-in BNE members. You may withdraw your consent at any time by contacting tgo@sorgcenter.dk. The presentation will then be removed from the archive within one week.
Please note that we may not be able to retrieve copies already lawfully downloaded by members before the presentation was removed.
Recipients and Service Providers
Personal data may be disclosed to service providers that assist us with website hosting, membership administration, payment processing, email distribution, technical support and other necessary services.
These service providers may process personal data only in accordance with our instructions and appropriate contractual and security requirements.
We do not sell personal data or disclose it to third parties for their own marketing purposes.
International Transfers
If a service provider processes personal data outside the EU/EEA, we will ensure that an appropriate legal transfer mechanism is in place, such as an adequacy decision or the European Commission’s Standard Contractual Clauses.
Retention
We retain personal data only for as long as necessary for the relevant purpose:
- Membership information is retained for the duration of the membership and for any additional period required by law.
- Payment and accounting information is retained for the applicable statutory retention period.
- Enquiries are deleted when they are no longer required.
- Marketing information is retained until consent is withdrawn.
- Technical logs are retained only for the period required for operation and security.
- Conference presentations are retained while they form part of the BNE Conference Archive or until consent is withdrawn.
Information may be retained for a longer period where necessary to establish, exercise or defend legal claims.
Your Rights
Subject to the conditions of the GDPR, you may have the right to:
- Access the personal data we process about you.
- Have inaccurate information corrected.
- Have personal data deleted.
- Restrict our processing.
- Object to processing based on legitimate interests.
- Receive personal data in a portable format.
- Withdraw consent at any time.
